8. Video conference systems

Description and scope of data processing

To conduct online meetings and video conferences we use the software solutions GoToMeeting and Teams. In such an online meeting, participants can write chat messages to each other and share their own screens. Online seminars and video conferences are generally not recorded by us nor are chat contents logged by us. If we do record them, we will expressly point this out to you.

If you use a video conference system, various data is processed. The extent to which personal data is processed also depends on what data you disclose when using the software. The following categories of personal data may be processed:

  • User details, e.g. first name, surname
  • Metadata: Meeting name, participant IP addresses, device and hardware information
  • When dialing the phone: Information on incoming and outgoing telephone number, country name, start and end time. If necessary, further connection data such as the IP address of the device can be saved
  • Text, audio and video data: if necessary, text input for using the chat function; when using the video function, data from the video camera of the terminal device; when using audio, data from the microphone of the terminal device. Camera and microphone can be switched off or muted during an online meeting
As a matter of principle, we do not pass on personal data processed in connection with participation in an online meeting to third parties unless it is explicitly intended for this purpose.

Legal basis for data processing

The legal basis for the processing of personal data when using videoconferencing systems is Art. 6 para. 1 lit. a) and f) DSGVO. Our legitimate interest is based on the holding of online meetings. Purpose of data processing

We use video conferencing systems for the purpose of holding telephone conferences, online meetings, online seminars or video conferences.

Data processing outside the European Union

GoToMeeting is a service provided by LogMeIn Ireland Limited, headquartered in Ireland, a subsidiary of LogMeIn Inc. headquartered in the USA. Teams is a service from Microsoft Corporation, Inc. also based in the USA. As a result, personal data is also processed in a third country. A contract for contract processing, which meets the requirements of article 28 DSGVO, was concluded with the providers.

LogMeIn, Inc. and Microsoft Corporation, Inc. and all its affiliates have US-EU Privacy Shield certification. In addition, the conclusion of the EU standard contractual clauses is guaranteed.

Duration of Storage

The data will be deleted as soon as they are no longer required for the purpose of their collection. Any longer storage beyond this can be justified by legal retention periods.

Possibility of objection and removal

When using video conferencing systems, the processing of metadata, connection data and a few profile data is mandatory. The processing of further personal data, e.g. optional profile data, video and audio data, can be prevented by personal settings of the video conference systems.
